Privacy policy

How CrownXpress collects, uses and protects your personal information, in line with the Protection of Personal Information Act (POPIA).

1. Who we are

CrownXpress is a trading name of Crown Express (Pty) Ltd, a South African company that sources, ships, clears and delivers goods for businesses and individuals. In this policy, "we", "us" and "CrownXpress" mean Crown Express (Pty) Ltd.

We are the responsible party for the personal information described here. This policy applies when you use our website, send us a quote request, contact us by phone, email or WhatsApp, or use our services.

2. The information we collect

Contact details: your name, company name, phone or WhatsApp number and email address.

Shipment details: what you are moving, quantities, values, condition, where the goods are and where they need to go, and any photos, supplier links, invoices or packing lists you send us.

Customs and compliance information: importer or exporter codes, company registration details, and the identity or other documents that SARS, permit authorities or our service providers require for your shipment.

Billing details: the details we need to invoice you and record your payments. We do not take card payments on our website.

Website information: basic technical information, such as your IP address, browser type and the pages you visit, which our hosting provider records for security and to keep the website running.

3. How we use your information

We use your information to prepare quotes, arrange sourcing, shipping, customs clearance and delivery, declare your goods to SARS and apply for any permits, keep you updated about your shipment by phone, email or WhatsApp, invoice you and keep our accounts, meet our legal obligations, and keep our website secure and working.

We do not sell your personal information. We will only send you marketing messages if you have agreed to receive them, and you can ask us to stop at any time.

4. Why we are allowed to use it

Under POPIA we process your personal information because it is needed to prepare a quote or to perform our agreement with you, because the law requires it (for example customs and tax laws), because it is in our legitimate interest to run and protect our business, or because you have given your consent. Where we rely on your consent, you may withdraw it at any time.

5. Who we share it with

We share only what is needed for your shipment, with: shipping lines, airlines, road hauliers, warehouses, ports and terminals; clearing and forwarding agents; insurers, when you ask us to arrange cover; SARS and other authorities that issue permits or inspect goods; and your suppliers or buyers, where needed to complete the job.

We also use trusted providers to run our business, such as our website hosting provider, our email provider and our accountants. We may disclose information when the law requires it. We expect everyone we share information with to protect it.

6. Sending information outside South Africa

Importing and exporting means working with suppliers, carriers and agents in other countries, so some of your information will be sent outside South Africa. We only do this when it is needed to perform our agreement with you, or with your consent, and we take reasonable steps to make sure the information is protected, as POPIA requires.

7. How long we keep it

We keep personal information only for as long as we need it for the purposes above. Customs and tax records are kept for at least five years, as SARS requires. When we no longer need information, we delete it or remove anything that identifies you.

8. How we protect it

We limit access to people who need it for their work, use secure, encrypted connections for our website and email, and protect our systems with passwords and security updates. If we believe your personal information has been accessed without authorisation, we will tell you and the Information Regulator, as POPIA requires.

9. Cookies and other websites

Our website uses only the cookies it needs to work. We do not use advertising cookies. The map on our Contact page is provided by Google Maps, and our WhatsApp links open WhatsApp; those services may collect information under their own privacy policies.

10. Your rights

You may ask us what personal information we hold about you, ask us to correct or delete it, object to how we use it (including for direct marketing), and withdraw your consent. We may need to confirm your identity before we act on a request.

If you are not satisfied with how we handle your information, you may complain to the Information Regulator of South Africa (www.inforegulator.org.za). We would appreciate the chance to resolve your concern first.

11. Children

Our services are meant for businesses and adults. We do not knowingly collect personal information about children.

12. Changes to this policy

We may update this policy from time to time. The version on this page, with the date shown at the top, is the current one.
